Privacy Policy

What we collect, why we collect it, and how to remove it — written for humans.

Short version: Uttrix handles calls and messages on your behalf, so we process the conversations themselves — audio, transcripts and the contact details you give us — plus a small amount of usage data to keep the service running. We never sell your data or use it to train AI models. You can ask us to export or delete everything at any time.

This notice covers uttrix.com and all Uttrix sub-domains operated by FNA Technology LLP. It applies to anyone who visits, signs up, or uses the service.

Two roles. For your own account data we are the controller. For the personal data of your customers — the people your agents call and message — you are the controller and Uttrix is the processor. You decide who is contacted and on what basis; we process on your instructions.

Data we collect

Account
Name, work email, password hash, workspace name, role
Agent config
Scripts, prompts, business hours, routing rules, connected numbers and WhatsApp senders
Call content
Call audio and recordings, transcripts, AI-generated summaries, call metadata (time, duration, outcome)
Message content
WhatsApp messages sent and received by your agents, and their delivery status
Your customers' data
Phone numbers, names and any booking or enquiry details you upload or your agents capture on a call
Usage
Pages viewed, reports run, browser, OS, truncated IP
Billing
Plan, invoices, and the last 4 digits and status of your card — the card itself is held by Razorpay, never by us
We never store full payment card numbers — Razorpay collects and holds those. We do not collect government IDs, biometrics, or anything else we don't need to operate the product.
Section 2

Why we collect it

Service delivery
Running your voice and WhatsApp agents, transcribing and summarising calls, authentication, dashboards and reports.
Product improvement
Aggregated, de-identified usage only. We never train models on your conversations.
Billing
Enough to process your subscription through Razorpay. We only store what is safe to show on an invoice.
Security & legal
Audit logs (90 days), rate limiting, tax records, and lawful disclosure when ordered.
Recording consent
You are responsible for the notice and consent your callers receive before a call is recorded, and for the laws that apply where you call.
Section 3

Who can see it

By default: you, your workspace members, and a small subset of Uttrix on-call engineers. Outside that boundary, only:

Sub-processors under Data Processing Agreements: Microsoft Azure (hosting, Mumbai region), our telephony and SIP providers, speech-to-text and language-model providers, the WhatsApp Business Platform (Meta), Cloudflare R2 (recording storage), and Razorpay (payments).
AI providers — only the conversation content needed to generate a reply, a transcript or a summary. No provider sees your account or billing data, and none of them trains on your conversations.
Law enforcement — only when compelled by a valid court order, and only after notifying you where permitted.
Acquirers — in a merger or sale your data moves under the same terms, with 30 days' notice.
We do not sell, rent, or barter personal data. There is no advertising network behind Uttrix.
Section 4

How long we keep it

Call recordings & transcripts
Kept for the retention period configured on your account, then deleted. Tell us the period you need and we will set it.
Summaries & call metadata
Kept for the life of your account so your reporting stays intact.
Your customers' contact data
Kept until you delete it or close your account.
Account & billing records
Kept while your account is open, then as long as tax and company law requires.
After termination
You can export your data within 30 days. After that it is deleted, except what we are legally required to retain.
Section 5

Your rights

Wherever you live, these rights apply. Where GDPR, UK GDPR, CCPA, or DPDPA grants more, we honour the higher bar.

Access & export
Ask for a copy of everything we hold about you. Email contact@fnatechnology.com and we will provide it within 30 days.
Deletion
Ask us to delete your account, a workspace, or specific recordings. We action it within 30 days and confirm when it is done.
Rectification
Correct inaccurate data from your profile settings, or ask us to correct it.
Objection
Email contact@fnatechnology.com — we respond within 30 days.

Grievance Officer
Complaints about how we handle your data can be sent to the address above, marked for the attention of the Grievance Officer, or emailed to contact@fnatechnology.com with "Grievance" in the subject line. We acknowledge within 24 hours and resolve within 30 days.
